A QuickBooks data file flying off the handle? It just could be its size

Kington, England, 4 Oct 2021, ZEXPRWIRE, When a business contains too many transactions and files grow beyond the allowable limits, the file becomes hard to read.

According to Intuit, a company file size can handle data up to 150MB in size. Intuit also suggests a minimum of 4 GB for client machines and 8 GB for the server of a 5-user environment. QuickBooks Premier and Pro have a hard limit of 14,500 names in the data file. A name is a customer, vendor, account, employee, item or other name. Once the target is hit, it would be necessary to upgrade to QuickBooks Enterprise. Moreover, a large data file not only compromises integrity with a higher risk of data corruption, but also causes performance issues and slowness in accessing the file itself.

“A large data file also often than not results in frequent crashes, balance sheets that are out of balance, corrupt or glitchy memorized reports and discrepancies between QuickBooks and integrated applications,” E-Tech’s John Rocha said.

Condensing or SuperCondensing helps reduce file size considerably. This does not only shrink the data file, but also removes any unused lists from the file. Another tested and proven method to help reduce file size is by merging items of the same type. Service items can be merged together, but a service type item cannot be merged with a non-inventory item type.  You have to carefully consider which items would be merged together into another item, and make sure you have a backup of your QuickBooks file. Associated historical transactions will contain only the items left after the merge.
